Tax area assignment

TaxRateCentral fills in the Tax Area Code from the post code. It does this on customers, ship-to addresses, sales documents, and service documents. The options on the TaxRateCentral Setup Card control where the app does it.

Enabled must be on for each of these updates.

When the app assigns the code

Record Option on the setup card The app assigns the code when you…
Customer Update on Customer Event change the Post Code, or select a value with the lookup on Post Code or City
Ship-to address Update on Ship-to Address change the Post Code, or select a value with the lookup on Post Code or City
Sales document Update on Sales Document change the Ship-to Post Code
Service document Update on Service Document change the Ship-to Post Code

The app does not change the code when you enter the same post code again with no change. To update an existing record, select the post code with the lookup, or enter a different value and then the correct value.

How the app finds the tax area

The app uses the state, the post code, and the city of the record.

  1. The app builds a tax area code from the state, the post code, and the city. See Tax area codes.
  2. If a tax area with that code exists, the app assigns it. It does not ask you.
  3. If no tax area has that code, the app searches for the tax areas of the post code.

When the app searches by post code, the result depends on the number of matches:

Matches What the app does
One It assigns that tax area
More than one It opens the Tax Area List. Select the correct tax area
None It keeps the existing Tax Area Code

Use Primary Record

A post code can contain more than one city, and each city can have a different rate. The app marks one tax area of each post code as the primary record.

When Use Primary Record is on, the search by post code includes only the primary tax areas. In most cases, this gives one match, and the app assigns it with no question.

Note. Use Primary Record applies only when the city does not match. When the state, post code, and city match a tax area, the app assigns that tax area.

Make sure that the result is correct

The app selects the tax area from the address data. Make sure that the assigned Tax Area Code is correct for the customer, especially when a post code contains more than one city.
